1. Who is responsible?
Bimmate is responsible for the processing of personal data described in this privacy notice.

This notice applies to the Bimmate website, the BIM-MATE add-in for Autodesk Revit, direct purchases and licences supplied by Bimmate, and the BIM-MATE edition distributed through the Autodesk Marketplace.
2. Personal data we process
2.1 Contact and support
When you contact us, request a quotation or ask for support, we may process your name, company, email address, telephone number, message, project information and files you choose to provide. A diagnostic log you send may contain a Revit project name or path, element identifiers, error details and technical system information. BIM-MATE does not send error reports automatically; where available, it opens a visible email draft for you to review and send.
2.2 Purchases, subscriptions and payments
Stripe handles the checkout and recurring payments for direct BIM-MATE subscriptions. Stripe may process your name, company, email address, billing address, country, tax ID, payment method, bank or card data, IP address, device/browser data, payment status, amounts, tax and transaction details.
Bimmate does not receive or store full card or bank details. We receive the information needed to administer the purchase, invoice, tax, subscription and licence, including your name and email, Stripe customer/checkout/invoice/payment/subscription identifiers, amounts, status, paid period and relevant timestamps. Your selected bank or payment service, including iDEAL/Wero or PayPal, may also process data under its own privacy terms.
2.3 Direct BIM-MATE licence and trial
For activation and validation, Bimmate may process your name, email address, licence code, plan, status and expiry; a pseudonymous SHA-256 hardware fingerprint derived from a Windows machine identifier and computer name; the computer name and platform; activation and validation timestamps; and subscription, invoice and payment references required for renewals.
Trial start/check/expiry timestamps and the pseudonymous fingerprint are stored locally and on the licence server. Several local Windows locations are used to prevent a trial from restarting when one file is deleted.
2.4 Autodesk Marketplace edition
When a licensed feature is used, the Marketplace edition sends the Autodesk User ID of the account signed in to Revit and BIM-MATE's Autodesk AppId to Autodesk's entitlement service over HTTPS. The software receives an entitlement result and stores a protected timestamp locally for limited offline use. This edition does not use Bimmate's own licence server or direct Stripe activation route.
2.5 Local Revit add-in data
BIM-MATE may store settings, selected folders, export profiles, licence data, diagnostic logs, TimeTracker project names/paths and durations, Family Browser caches and review histories locally on the user's computer or in the Revit model. Logs may contain project names or paths, element IDs, errors and stack traces. Revit model data is normally processed locally and is not automatically uploaded to Bimmate. Files are created or modified only following a user action.
2.6 Optional BIM-MATE Helper
This section applies only when a user of the direct edition deliberately uses the cloud Helper. The Store edition does not include this route. BIM-MATE sends the question, relevant conversation context and requested Revit tool results through Bimmate's secured server to the Anthropic API. Tool results may contain information from the open Revit model. Users should not submit unnecessary personal, confidential or sensitive project information.
Bimmate does not store question, conversation or tool-result content in its licence database. Only a licence/trial reference, date, random question ID and turn count are stored for quota control. According to Anthropic's information reviewed on 14 August 2026, API content is not used for model training and is normally deleted within 30 days, except where otherwise agreed or retained for abuse investigation or legal compliance.
2.7 Updates and technical traffic
The direct edition may periodically contact the public BIM-MATE update server to check whether an update is available. As with any internet request, network and hosting providers receive technical connection data such as IP address, timestamp, requested URL and browser/client information. Revit models and exports are not included in an update check.
2.8 Website, viewer and technical logs
Our online services process technical connection data required for secure delivery, such as IP address, timestamp, requested URL, browser/client information and errors. The website may store a functional cookie or browser setting for cookie preferences. The current public website is technically connected to Google Tag Manager/Google Analytics and Microsoft Clarity for usage statistics and insight into page use. These providers may process device, browser, IP-address and website-usage data. Analytics storage and comparable non-essential tracking must only take place after the required consent. Preferences can be changed in the cookie settings.
The BIM-MATE Viewer records page opens and model-load success/failure for operation and improvement. Derived visitor statistics are stored without the full IP address. Underlying web-server access logs are retained temporarily and rotated by file size.
2.9 Sources and required data
We receive personal data directly from you when you contact us, check out, activate a licence or use an optional function. We also receive technical data from the BIM-MATE add-in and your computer, payment and subscription data from Stripe and the selected payment service, and Marketplace account and entitlement data from Autodesk.
Fields marked as required during checkout or activation are necessary to enter into and perform the contract, process payment and tax, and deliver and validate the licence. Without this information we cannot provide the relevant purchase or licensed function. Contacting us with a general enquiry, sending diagnostic files, accepting non-essential analytics and using the cloud Helper are optional.
3. Purposes and legal bases
We process personal data to communicate with customers and provide requested support; perform and administer purchases, subscriptions and licences; comply with tax and accounting law; validate licences and prevent misuse; provide requested software and cloud-Helper functions; and secure and diagnose our services. Our legal bases are performance of a contract or pre-contractual steps, compliance with a legal obligation, our legitimate interests in reliable and secure services and fraud prevention, and consent for non-essential analytics cookies.
4. Recipients
We do not sell personal data. Data may be processed by Stripe and the selected bank/payment service; Autodesk; Anthropic when the cloud Helper is used; Hostinger for VPS hosting; SiteGround for hosting the public website; Cloud86 for email and other hosting components; Microsoft for parts of email and Microsoft Clarity; Google for Google Tag Manager and Google Analytics; and professional advisers or authorities where legally required. Some providers act as our processors, while others determine some processing purposes themselves under their own privacy notices.
5. International transfers
Our service providers and their sub-processors may process data outside the European Economic Area. This may include Stripe, Autodesk, Anthropic, Google and Microsoft. Where required, transfers rely on an adequacy decision, the EU–US Data Privacy Framework, EU Standard Contractual Clauses or another valid transfer mechanism. Information about applicable safeguards can be requested through the privacy email.
6. Retention
- Financial administration and invoices are generally retained for 7 years under Dutch tax law.
- Licence and activation data are kept for the life of the licence/trial and afterwards as reasonably required for support, security, fraud prevention and legal claims. Ordinary licence and activation data are deleted or anonymised 24 months after termination, unless longer retention is required for a legal obligation, fraud prevention or a legal claim.
- The licence server keeps a rolling technical log of the latest 500 Stripe webhook events. Pending events are deleted after correct processing. Financially required records remain subject to the statutory period.
- Support emails and submitted files are retained for up to 24 months after the case closes, unless earlier deletion is appropriate or longer retention is required by law or for a legal claim.
- Local settings, caches, histories and logs remain on the user's device or in the Revit model until overwritten or deleted by the user. Diagnostic logs rotate at approximately 2 MB per file.
- Bimmate does not retain cloud-Helper content in its licence database. The limited daily quota administration is retained only as long as needed for quota management. Anthropic normally deletes API inputs and outputs within 30 days, subject to the exceptions described above.
- Server and security logs are rotated and retained only as needed for security, diagnosis and availability.
7. Automated licence checks
BIM-MATE does not use profiling for marketing or credit decisions. It does automatically determine whether a trial, direct licence or Autodesk entitlement is valid. An invalid, expired, revoked or machine-mismatched licence can block access to licensed features. Contact support if you believe the result is incorrect and want human review or correction.
8. Your rights
Subject to applicable law, you may request access, correction, deletion, restriction, objection or data portability and may withdraw consent for future processing. These rights are not absolute; for example, statutory accounting records cannot be deleted before the retention period ends. We may ask for limited additional information to verify your identity.

9. Security
We use proportionate technical and organisational measures, including HTTPS, signed licence and update files, protected local licence storage, restricted administrative access, backups and webhook signature validation. No method of storage or transmission is completely secure.
10. Children
BIM-MATE is professional business software and is not directed to children.
11. Changes
We may update this notice when services, data flows or legal requirements change. The current version and effective date will be published on the privacy page.
